Submission System Terms and Conditions

1. Personal Data Privacy

1.1. Data Collection: By registering for this conference, you consent to the collection and processing of personal data provided during registration. This data may include, but is not limited to, your name, affiliation, contact details, and dietary preferences.

1.2. Data Usage: Personal data collected will be used for conference administration purposes, including communication regarding the event, distribution of conference materials, and organizing related activities. Your data will not be shared with third parties unless required by law or with your explicit consent.

1.3. Data Security: We are committed to ensuring the security of your personal data and will take appropriate measures to prevent unauthorized access, disclosure, or alteration.

1.4. Data Retention: Personal data collected will be retained only for the duration necessary to fulfill the purposes outlined in these terms and conditions or as required by law.

2. Plagiarism

2.1. Originality: All submitted abstracts, papers, and presentations must be original work produced by the author(s). Plagiarism in any form, including but not limited to copying verbatim from other sources without proper citation, will not be tolerated.

2.2. Attribution: Proper attribution must be given to all sources used to create submitted materials. Failure to provide appropriate citations may result in disqualification and exclusion from future conference participation.

2.3. Intellectual Property: By submitting materials to the conference, you affirm that you have the necessary rights and permissions to use and share the content. You retain intellectual property ownership, but grant the conference organizers a non-exclusive license to use, reproduce, and distribute your materials for conference-related purposes.

3. Payment and Refund

3.1. Registration Fees: You must pay registration fees to confirm your attendance and presentation at the conference. Registration fees are non-refundable except in the circumstances outlined in section 3.3.

3.2. Payment Methods: Payment must be made through the designated channels provided by the conference organizers. Accepted payment methods may include credit/debit cards, bank transfers, or online payment platforms.

3.3. Refund Policy: Refunds may be issued in the following circumstances:

Cancellation of the conference by the organizers.

Inability to attend due to visa rejection (proof of rejection required).

Medical emergency or unforeseen circumstances preventing attendance (documentation may be requested).

Refund requests must be submitted in writing to the conference organizers and will be processed within a reasonable timeframe, at least 30 days, for a full refund.

3.4. Cancellation Policy: The conference organizers reserve the right to cancel or postpone the event due to unforeseen circumstances, including but not limited to natural disasters, pandemics, or other emergencies. Every effort will be made to inform registered participants in advance, and alternative arrangements may be offered.

4. General Provisions

4.1. Changes to Terms: The conference organizers reserve the right to amend these terms and conditions at any time without prior notice. Any changes will be effective immediately upon publication on the conference website.

4.2. Code of Conduct: All participants are expected to adhere to the conference’s code of conduct, which promotes respect, professionalism, and inclusivity. Any behavior deemed inappropriate or disruptive by the organizers may result in expulsion from the conference without a refund.

4.3. Governing Law: These terms and conditions shall be governed by and construed in accordance with the laws of [Jurisdiction]. Any disputes arising from or related to these terms and conditions shall be subject to the exclusive jurisdiction of the courts of [Jurisdiction].
